Sales and Contracts Assistant

Department: Sales/Contracts.
Reports To: Sales and Contracts Manager.
Standard Starting Salary/Wage: $24-$26/hr X Full-time Part-time X Exempt Non-exempt.
Approved by: Joseph Gurvich, President.
Educational Requirements: AA degree or equivalent.
Minimum Previous Experience Required: One year in a similar role.
Training will be provided.
Job/Position Summary:
- Serve as customer point of contact, with emphasis on timely and accurately responding to customer concerns and requests.
- Maintain and track deadlines.
- Coordinate information and tasks with customers and internal departments.
- Review, approve, and communicate contract terms.
- Establish and maintain customer relationships.
- Perform, oversee and guide proposal submissions, contract negotiations, contract management and document management.
- Perform administrative and clerical tasks related to contracts and purchasing.
- Ensure compliance with all federal and customer contract requirements.
Essential Job Duties and Responsibilities:
- Interface with Customers and Outside Sales Representatives.
- Create and maintain relationships with Customers and Suppliers.
- Maintain correspondence with Customers via email, phone calls, meetings etc.
- Monitor quote terms, conditions, and pricing. Follow up to ensure execution per terms.
- Write, evaluate, negotiate, and execute Proposals, Bids, Quotes and Contracts.
- Ensure flow of Customer requirements throughout all internal departments.
- Learn and utilize MRP system to process and track orders.
- Create reports and conduct appropriate follow up.
Qualifications:
- Superior reading, writing and language skills. Excellent written and verbal communication.
- Strong analytical, problem-solving, organizational, and time-management abilities.
- Ability to work independently, and capable of exercising sound judgment in the absence of detailed instructions
- Accuracy, thoroughness, attention to detail.
- Proficient in MS Office Suite (specifically Excel, Word and Outlook).
Physical Requirements:
- Ability to remain in a stationary position for extended periods, including standing or sitting.
- Capable of lifting to 15 pounds as needed.
Work Authorization/Security Clearance: U.S. Citizens or lawfully authorized applicants to work in the United States.
Work Schedule: Full Time - Four (4) ten hour days, 6:00 a.m. - 4:30 p.m. (Monday - Thursday)
Travel: Possibility of 5%
